In this privacy statement, we aim to provide clear and transparent information about how we handle personal data. We do our utmost to ensure your privacy and therefore handle personal data with care.     Why do we process personal data? Your personal data is processed by VZW Ommeweg for the following purposes and legal grounds: • Participation in the association's activities (execution of agreement) • Insuring members of the association • Sending newsletters and invitations (legitimate interest) • Obtaining government subsidies (legal obligation)

    What data do we process? We may request, store, collect, and process the following personal data for the stated objectives: • Identification data: name, first name, address, phone number, email • Government-issued identity information: identity card number • National registry number • Personal characteristics: gender, date of birth, place of birth, nationality

    Who processes the data? The data is processed by the following external organizations:

    • Board members of the association

    • Volunteers of the association

    Disclosure to third parties We may disclose the data you provide to third parties if necessary to fulfill the purposes described above. We use third parties (processors) for: • managing the internet environment (web hosting); • managing IT infrastructure (e.g., IT network, etc.); • creating and distributing newsletters and invitations; • insuring members of the organization; • insuring participants in events organized by the organization.

    We never transfer personal data to processors (other parties) unless we have a processing agreement with them. With these parties (processors), we naturally make the necessary arrangements to ensure the security of your personal data. We will not transfer your data to third parties unless legally required and/or permitted, such as in the context of police or judicial investigations. We may also share personal data with third parties if you give us explicit consent. This consent can be withdrawn at any time, without affecting the lawfulness of processing based on consent before withdrawal.

    Minors We only process personal data of individuals under the age of 18 if written consent has been provided by the parent or legal guardian.

    Retention period VZW Ommeweg retains personal data no longer than necessary for the purpose for which it was provided or as required by law. VZW Ommeweg commits to retaining data no longer than 1 year after its last use.

    Data security The following appropriate technical and organizational measures have been taken to protect personal data against unlawful processing: • All individuals who can access your data on behalf of VZW Ommeweg are obliged to maintain confidentiality. • We use a username and password policy on all our systems. • We pseudonymize and encrypt personal data if necessary. • We make backups of personal data to restore it in case of physical or technical incidents. • We regularly test and evaluate our measures. • Our employees are informed about the importance of personal data protection.

    Your rights regarding your data You have the right to access, copy, adjust, or delete the personal data we have received. You can contact us at the address mentioned above.
